How do I download new or updated forms into Softwheels?

When inputting a deal on the F&I screen, why won't Softwheels 2000 calculate a payment? Or, for that matter, anything in the disclosure side (right side) of the screen?

When first starting SW2K I am presented with a password screen. I simply click on the ok button 3 times and it lets me in anyway. What is the difference between doing that and actually inputting a password?

Sometimes we get a flat fee of $X for writing a deal. Is there a feild that we can insert that number so Softwheels wiill reflect the proper amount of dealership participation?


 

 

Q - When inputting a deal on the F&I screen, why won't Softwheels 2000 calculate a payment? Or, for that matter, anything in the disclosure side (right side) of the screen?

A - In order to be able to calculate a payment there are certain fields that cannot be left 0 (zero) on the left side of the screen. These are:

  • Price
  • APR
  • Term (number of payments)
  • Days To First Payment

Double check that all the listed input fields are properly filled in with non-zero numbers.

Q - When first starting SW2K I am presented with a password screen. I simply click on the ok button 3 times and it lets me in anyway. What is the difference between doing that and actually inputting a password?

A - The difference is you are being logged in at the lower user level. There are a LOT of functions that you do not have access to when logged in at this level. These are:

  • The Recap screen - This is where you calculate all your profits (back end and front end) and commissions on the deal and actually close the deal.
  • Management Level Reports - There are a LOT of reports that you do not have access to at the lower user level
  • Inventory Costing Info - If you are using the Tracker module in SW2K for your whole goods inventory then you will not have access to the Costing screen.
  • Cannot Delete - You are not able to delete deals or units from inventory.
  • Settings - There are some settings in the Default Settings that affect the way the Gross Profit and Commissions are calculated. These are not presented to you when logged in at the lower user level.

Q - I am trying to recap my deal but the Recap button is not on my top menu bar. Why?

A - You are not logged in with the upper level password.

Q - When first starting SW2K I am presented with a password screen. I input the password but SW2K makes me enter it 3 times. Why?

A - It is going to be 1 of 2 reasons:

  1. You are inputting the wrong password
  2. You are not using the proper case. The password field is case sensitive.

You should only have to enter the password once. SW2K will let you try up to 3 times and then if the entered password is not correct then SW2K logs you in at the lower user level by default.

Q - How do I delete a deal?

A - Follow these steps to delete a deal:

  1. You must be logged in with the upper level password.
  2. Recall the deal you wish to delete.
  3. Click on the "Buyer(s)" button in the top menu bar.
  4. Click on the "Delete" button down in the bottom right corner.
  5. Click "Ok" to verify you wish to delete this deal.

This will do a complete "Un-Wind".  In other words this will delete all the data about this deal, release the sold unit(s) back into active inventory, and delete any trade units out of inventory.  Note: The inventory is only effected if you are using our Tracker module to track your unit inventory.

Q - When I finish a deal why won't the vehicle delete out of my inventory automatically?

A - In order for a unit (car, bike, boat, etc), or units, to be deleted from your inventory you must Recap and CLOSE the deal.  Follow these steps to close a deal:

  1. You must be logged in with the upper level password.
  2. Have the deal on the screen you wish to finalize (close).
  3. Click on the "Recap" button in the top menu bar.
  4. Complete both tabs of information (Front End and Back End).
  5. Click on the "Close" button down in the bottom right corner.
  6. Click "Ok" to verify you wish to close this deal.

Q - How do I get two (or more) computers on a network to share the same set of data files?

A - Follow these steps to setup Softwheels to share a common set of data files on a network:

  1. You must have all computers that you want to share the data files networked together.
  2. Decide which machine you want to be the DATA SERVER. This machine is the one that will actually have the data.
  3. Make sure to have Softwheels 2000 installed on ALL machines that will be running it - including the data server.
  4. Now, on all the workstations you must MAP a drive letter over to the data server. (Whoever is designated as your network administrator may need to do this.) Just for this Q&A we will use a sample drive letter of 'F'.
  5. Start Softwheels 2000 and log in.
  6. Click on the "Setup" button.
  7. Click on the "Dealer Info" button.
  8. Locate the "Data Path" fields - they are about half way down the screen.
  9. Change the drive letter from 'C' to whatever drive letter you mapped to the data server. In our sample case we would change it to drive 'F'.
  10. Close the Dealer Info screen and you are good to go.

Q - Is there a way I can keep notes on a customer or deal?

A - Yes there is. On the Buyer(s) screen there is a "Notes" button. Simply click on it and it will bring up a screen where you can put any kind of notes you want.

Q - How do I delete or remove a unit from a deal?

A - Go to the F&I screen and click the "REM" button, located just below the Payoff field, for the corresponding unit you wish to remove.

Q - Why won't SW2K let me print forms when I click on the "Print Forms" button on the top menu bar?

A - Because you do not have a two part buyer name. SW2K requires that you have at least a first and last name for the buyer (or person signing for a business) in order to print forms.

Q - When I go to print some of my forms (like title paperwork) I do not have any of the yellow print buttons down on the bottom so I cannot print a form. Why?

A - Because you do not have a unit tied to the deal. Since there are no units tied to the deal the form(s) think there is nothing to print (and they would be correct) so therefore you are not presented with the print buttons.

Q - How do I adjust the TOF (Top-Of-Form) setting on my printer?

A -

Epson FX 980 Printers - Exerpt from their manual (page 2-39):

  1. Make sure the printer is turned on.
  2. If necessary, load paper.
  3. Lift the printer cover up and off the printer.
  4. Hold down the Pause button for about three seconds. The Pause light starts flashing and the printer enters the micro adjust mode.
  5. Press the LF/FF button to move the top-of-form position up on the page
    OR
    Press the Load/Eject button to move the top-of-form position down the page.
  6. After you set the top-of-form position, press the Pause button to exit micro adjust mode.

 

Okidata 320/321 Printers - Exerpt from their manual (page E-9):

  1. When setting the Top of Form, use the red line on the paper shield as a reference.
  2. Make sure the printer is deselected (SEL light off).
  3. Press and hold SHIFT, then
    Press LF to move Top of Form higher (paper moves down)
    OR
    Press FF/LOAD to move Top of Form lower (paper moves up)
  4. Press SEL to re-select printer.

Q - When I go to print retail installment contracts only about 2/3 of the form prints. How do I get Softwheels to print the entire contract?

A - You have tell Windows to allow your printer to print a custom size form. To do this, follow these steps:

Windows 98:

  1. Click the Start button
  2. Click the Settings
  3. Click Printers
  4. Locate the printer you use for printing forms - usually the Epson FX-880.
  5. Right-Click on that printer
  6. Click Properties
  7. Click the Paper tab
  8. Click Custom
  9. Change the length/height to 2200
  10. Click Ok all the way out

 

Windows 2000/XP:

  1. Click the Start button
  2. Click Settings
  3. Click Printers - This will bring up your Printers Collection
  4. On the top menu bar Click File
  5. Click Server Properties
  6. Click the Create New Form box
  7. In the Height box type in the length of your longest contract. Do not overstate the length - if anything understate it by 1/4 inch.
  8. In the Form Name box give this form a name that you can remember it by
  9. Click the Save Form button
  10. Click the Close button
  11. Locate the printer you use for printing forms - usually the Epson FX-880.
  12. Right-Click on that printer
  13. Click Printing Preferences
  14. Click the Advanced button
  15. In the Paper/Output - Paper Size pull-down list locate and click the form you just created.
  16. Click Ok all the way out.

Q - Why won't my dealer number for the department of motor vehicles print on my dmv paperwork?

A - Because you do not have it (or them, depending on your state) setup either at all or properly. To setup your dmv number(s) follow these steps:

  1. From our main menu click 'Setup'
  2. Click 'Dealer Info'
  3. Locate the group of fields labeled 'DMV Numbers' down at the bottom left of the screen
  4. Click into the first field
  5. If you have ONLY ONE dmv number for ALL types of units you sell then move on to step 7.
  6. If you have MULTIPLE dmv numbers for the types of units you sell then move to step 8.
  7. Follow this format when inputing your dmv number: ALL^DMV-NUMBER (the word 'ALL' and the '^' (shift 6) are mandatory - after the '^' then type in your dmv number). At this point you are finished.
  8. Follow this format when inputing your dmv numbers: UNIT-TYPE^DMV-NUMBER. For the UNIT-TYPE portion chose from this list of type codes: BIKES, ATVS, WATERCRAFT, SNOWMOBILES, BOATS, TRAILERS, AUTOS then the '^' (shift 6) then the matching dmv number.

Q - What should my printer settings be for my OKIDATA?

Q - Sometimes we get a flat fee of $X for writing a deal. Is there a feild that we can insert that number so Softwheels wiill reflect the proper amount of dealership participation?

A - Yes there is. If you type '0' (zero) in the Program % field on the Recap Screen/Back End Profit tab SW will then allow you to enter a number in the Reserves field.
